A CRM demo is built to show the happy path. The useful work happens before the call: write down the job, the number of logins, and the bill you will actually owe. This is a planning note from the editorial team. We have not run these products on a live sales team.
Start with the job, not the logo
Pick one primary job for the next 90 days. Inbound leads, an outbound pipeline, appointment booking, or client reporting. If the demo spends its time on a different job, you are watching the wrong product.
- Who creates a lead, and from where?
- What has to happen in the first hour?
- What does a lost lead look like, and who notices?

Count logins twice
Write two numbers: people who need a login in month one, and people who will need one by month six. Some products charge per seat. Others charge a flat plan and then bill messages. Those are different bills. On 6 November 2026, HighLevel's pricing page listed flat monthly plans and said contacts and users were not capped, while SMS, email, and calls were usage-priced. HubSpot's pricing pages did not give us a seat price we could quote. Ask both for a written number at your headcount.

Integrations are a list, not a logo wall
| Must connect on day one | Can wait | How you will know it works |
|---|---|---|
| Calendar, or the form that creates the lead | A report you look at monthly | Send one real test lead and see it land |
| The payment tool, if you take money in the first conversation | A second ad account | A $1 or test payment, then a refund |
| The dialer or SMS tool your team already uses | A nice-to-have chatbot | One outbound message to your own phone |
Export before you import
Ask who owns the export. Then export a sample CSV from whatever you use now, even if that is a spreadsheet. If you cannot get the file out, you do not have a migration plan. Confirm the new tool will take that file, including whatever you use for consent or do-not-contact flags.
The 30, 60, and 90 day check
Pick one number you will look at: booked calls, closed deals, or hours until the first reply. Write the number down before the demo. If the vendor cannot show where that number lives, the demo did not answer your question.
Exit while you still have leverage
Ask what the export looks like, how long a parallel run can last, and what happens to phone numbers and forms if you leave. Compliance questions belong in the same conversation: where the data is stored, and whether you need a business associate or data processing agreement. Do not assume either answer.
Use the CRM selection checklist in the meeting. The longer comparison is HighLevel vs HubSpot. Agency-specific notes are in CRM for agencies. Read how we research before you treat any score on this site as a measurement.

How this page was made: from each provider's official product and pricing pages and its public documentation, read on the date named in the page. We have not run a hands-on test, lab benchmark, or paid user study for this page. A step-by-step section describes the vendor's published flow. It is not a test we performed.
